Position Purpose & Focus

The Sales Assistant’s purpose is to support the Sales Team to deliver excellence on project execution and help the company grow its reputation as an industry leader by always pursuing the satisfaction of clients, vendors and installation partners on their transactions with ICE. The Sales Assistant will focus on supporting the Sales Team with various projects in an effort to exceed clients’ expectations and close transactions, they will also have contact with our operations team, and will perform various tasks within the organization operationally tied to sales activities.


Essential Duties & Responsibilities

  • Support CEO and Sales Team in the coordination of sales project installs for timely & smooth delivery, by reviewing crucial actions due by different parties, while anticipating & resolving problems before installation whenever possible

  • Help to maintain sample library by filing samples away and ordering replacements

  • Ordering and prepping samples for specific projects

  • Documenting finish selections and communicating information to the design team

  • Provide timely updates to clients throughout life of project as requested by CEO

  • Ability to multitask effectively throughout workday without compromising quality of work or client experience

  • Clear communication & understanding appropriate terminology when navigating conversations with clients, contractors, installers, & vendor partners

  • Ability to effectively troubleshoot issues, using discretion between client needs and company interests

  • Understanding appropriate available resources when managing through various stages of a project

  • Schedule and oversee project photography

  • Coordinates design details and site measurement information to internal or external design team and verifies information was captured correctly

  • Attend and coordinate client meetings and site walks as directed by CEO & Sales Team

  • Ensuring necessary updates are made to the ICE inventory log when items are loaned out or returned  by clients

  • Able to take direction and organize the resources necessary to assist in generating high-quality sales presentations and meeting notes

  • Gain understanding of product offerings, lead times, and price points

  • Effectively communicate and coordinate information to the Design team as necessary

  • Coordinate client meeting updates with design team

  • Attend vendor presentations, sales meeting, networking events, micro team meetings

  • Maintain ICE showroom slideshow, website updates, assist with presentations for specific pursuits

  • Assist with ICE showroom maintenance and design updates

  • Fill out Trello cards and answer any questions design has

  • Create level 1 FFE packages and preliminary budgets as needed

  • Support VP of Operations with special projects such as ICE holiday party, accounting tasks, ordering ICE swag, etc.

     


Qualifications

  • One or more years project management (or similar) experience with demonstrated ability to handle multiple projects, numerous deadlines, client communication, and conflicting priorities.

  • Working knowledge of construction methods, documents and software (Bluebeam) is preferred

  • Computer proficiency in Microsoft Suite (Word, Excel, Outlook)
